Maintaining and upgrading your business premises is a necessary investment. Common projects for dental practices range from surgery and reception fit-outs, shopfront refurbishments and new signage to structural extensions, HVAC installations, electrical rewiring, roof repairs, and redecorating.

Here are some ways to ensure you do it in the most tax-efficient way.

IF YOU ARE PAYING THROUGH YOUR COMPANY

If you have a limited company, this is usually going to be the best way to save tax on the renovations. However, make sure you’re aware of these costly mistakes people often make:

  • The Invoice Name Trap: If contractor invoices are made out to a director personally—or to a separate property-holding company rather than the active trading entity—you risk losing the Corporation Tax deduction entirely or creating difficulty when claiming the most efficient relief available.
  • Ownership vs. Leasehold: The entity incurring the expense must hold the legal interest in the property (or a valid lease) to qualify for key capital reliefs. For example, a trading company occupying a building owned by a holding company must hold a formal lease agreement with the landlord.
  • Trading vs Holding Company: Tightly related to the above point, it is likely that claiming the costs is more tax efficient when claimed by the company generating profits (usually the trading company). However, an interest in the property must be held in order to get the relevant relief.

UNDERSTAND HOW HMRC VIEWS THE WORK BEFORE YOU START

You could end up paying more tax than you anticipate if you’re not aware of the different ways HMRC categorises property costs.

Here’s why it’s complicated: the boundary between a “repair” and an “improvement” is notoriously ambiguous. For example, replacing an old heating system with modern, high-efficiency equipment can be interpreted as either a routine replacement or a capital upgrade depending on the precise scope of work.

Here is a guide to some of the nuances to be aware of:

  • Revenue Expenses (Repairs & Renewals): Restoring an asset to its original condition without improving it (e.g. repainting walls or replacing damaged roof tiles). These are 100% deductible against taxable profits in the current tax year.
  • Capital Allowances (Plant & Machinery / Integral Features): System upgrades embedded in the building, such as air conditioning, power wiring, and security systems. These often qualify for 100% upfront tax relief via the Annual Investment Allowance (AIA) or Full Expensing.
  • Structures & Buildings Allowance (SBA): Structural items like new walls, foundations, or brickwork. These attract relief at 3% per year on a straight-line basis over 33⅓ years.

HOW INVOICES AND DATA MUST BE PRESENTED

HMRC maydisallow claims based on a single-line invoice reading “Refurbishment work as quoted – £150,000”. To extract eligible costs, we will require:

  • Itemised Line-Item Invoices: Detailed breakdowns separating labour, raw building materials, trade costs, and individual fixtures.
  • Supporting Documentation: Contractor quotes and plans showing precisely what was removed, repaired, or newly installed with an item-by-item price breakdown.
  • Xero Coding: While invoices and supporting documentation are essential for breaking down the work, it’s vital that when you categorise these on your bookkeeping software, you code all building work (anything beyond simple, routine repairs) to a single, distinct account code so they can easily be aligned with the provided invoices and schedule of works.
