At Hive, we recently rolled out Glasscubes, a software that will help alleviate the burden of compiling the information we request from you in order to complete your personal tax returns and company year-end accounts.
Why are we using Glasscubes? Simply it is a win-win, it saves you time letting you focus on tasks that mean more to you, whilst it saves us time reviewing the information submitted and going back to you with any additional questions, therefore improving the service that you receive.
As you are likely to have seen in a recent blog of ours, Glasscubes is designed to be simple and clear and offers the following benefits;
- It’s a streamlined and organised list that you can pick up on the go and answer when you have a spare five minutes.
All of your uploaded information and communications will be shared by a secure encrypted channel. - You can easily ask questions regarding the information requested and have the comfort of knowing that you have the full support of our Inbound team to answer your queries in a timely manner.
- Even better is that, unlike with emails, there is no limit to the size of the files that can be sent, meaning that there is no need to send multiple emails.
- It allows you to share the task with others, so if the requested information is best provided by someone else (such as your Practice Manager) you can delegate the individual task to be completed.
- Finally, we know that gathering your accounts or tax return information isn’t the top of your list and it can fall to the side. As such, we have set up regular reminders to ensure that it doesn’t drop off your radar.
How to use Glasscubes
It is really quite simple.
- You will receive a link from Glasscubes which will allow you to open your individual checklist, be it for personal tax information or information required for your companies accounts.
- Once you open the link you will find a list of items that we require from you and you’ll have the ability to respond separately to each section. Below each request you select the ‘click to respond’ prompt and you can then attach or type out the required information.
- At this point you can also ask any questions if you are uncertain, delegate the task to someone else or mark the item as not applicable.
- You can chat directly with a member of the team via the dedicated and secure communication channel.
- You can come back to the list later and it will store what you have already uploaded, meaning you no longer have to retrace your steps to find out what has been provided and what hasn’t.
- You will receive reminders that you still have outstanding information to submit, so you can feel comfortable knowing where things are at, and what is left to do.
